- Identity verification. A photo or government-issued ID and date of birth, as required by USPS Form 1583.
- USPS Form 1583 data. The completed form and the notarization record.
- Mail and package data. Images of the outside of your mail, the contents of items you ask us to open and scan, and information about senders such as their name and address.
- Payment information. Processed by our payment provider, Stripe. We do not store full card numbers.
- Usage and device data. IP address, logins, requests you make, and standard log data.
- Communications. Emails, texts, and other messages you send or receive through the service.
How we collect it
- Directly from you when you sign up and use the service.
- From senders and other third parties, for example the return-address details on mail sent to you, and publicly or commercially available sources as allowed by law.
- Through cookies and similar technologies, and through analytics tools such as Google Analytics, which collects your IP and how you use the site. You can learn about Google Analytics and opt-out options in Google's own materials.
How we use it
- To provide the service: receive, log, scan, forward, shred, hold, and ship your mail.
- To meet USPS CMRA rules: complete and retain Form 1583, verify identity, and file Commercial Registration Database records.
- To bill you, send receipts, and support you.
- To notify you when mail arrives and about your account.
- For security, fraud prevention, and to improve the service.
- For marketing our own services to you, which you can opt out of.
- To comply with our legal obligations.
How we share it
- Service providers. The mailbox software platform we use, our payment processor Stripe, our notary service My Notary Services, shipping carriers, and other vendors who help us run the service, only for the purposes we specify.
- USPS and government. As required for CMRA compliance, and to law enforcement or regulators when we receive valid legal process, or to protect the rights, safety, or property of Proxy Mailbox, our customers, or others.
- Corporate transactions. If Proxy Mailbox is sold, merged, reorganized, or transfers assets, your information may transfer as a business asset. The acquiring party assumes our obligations under this policy, and we will notify you of any change in ownership or use of your information.
- Social features. If you choose to share activity to a social platform, that use is governed by that platform's policy, not ours.
- We do not sell your personal information.
- We may use and share aggregated or anonymized information that does not identify you for analytics and business purposes.
- SMS opt-in data and consent are excluded from any information shared with third parties.
SMS / Text Messaging
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
How you opt in: You choose to receive text messages from Proxy Mailbox by entering your mobile number and checking the optional SMS consent box on our Text Updates page (proxymailbox.com/text-updates) or on our signup forms. The box is unchecked by default, and consent is not a condition of purchase. You can opt out at any time by replying STOP, and reply HELP for help.
We may send mail and package arrival notices, signup and USPS Form 1583 steps, billing reminders, and customer service replies. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out and HELP for help.
How long we keep it
We keep 1583 records, IDs, and mail data while your account is active and for the period required by USPS and applicable law, then dispose of it securely.
How we protect it
We use reasonable administrative, technical, and physical controls, including encryption, access controls, and a documented chain of custody on sensitive records. No system is perfectly secure. If a breach affects your information, we will notify you as required by law. Your password protects your account, so keep it private, and tell us right away if you think it has been compromised.
Your choices
You may request to access, correct, or delete your information, subject to the records we must keep by law. You may opt out of marketing messages. Residents of some states, including California and Texas, may have additional rights, and we honor those rights where they apply. Contact us at [email protected].
